Privacy Policy

This privacy policy sets out how Parkview Consultants (Bristol) Ltd., or more simply Parkview, through the Meeting Booker (MB) website, uses and protects any information that we collect about you.

Parkview is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, you can be assured that it will only be used in accordance with this privacy statement.

Parkview may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes.

The website categorises data collection into two types, data relating to the users of the website and data entered into Meeting Booker that may include personal data of third parties.

What user data we collect

We may collect the following information:

  • name
  • work email address
  • alternate email addresses
  • work company name
  • Meeting Booker privilege level

How we collect the data

We collect your information from the following sources:

  • Email exchanges between staff members
  • Through face-to-face meetings
  • Through users providing data by registering to use the service

What third party data Meeting Booker can be used to collect

GDPR requires businesses to have a defined purpose for collection of information related to specific persons. This reason (or purpose), should always be supported by a legal basis. A legal basis can be a contractual obligation, a legitimate interest for storing and using data or that explicit consent has been given. The use of Meeting Booker by SETsquared Bristol is currently believed to fall under this guidance, so explicit permission or opt-in from users is not required.

For the avoidance of doubt, Parkview does not own any data entered onto the system. It remains the responsibility of SETsquared Bristol to ensure they can justify the storage of any data they enter onto the system and that their business processes have obtained any required consents under GDPR and similar legislation.

Users of the system can enter information into free form text fields, and therefore the data policy of SETsquared Bristol will be relevant here. However, MB has specific input fields including (but not limited to):

  • venture name
  • subject details for a meeting
  • emails of other parties to be invited to a meeting

Where we store the data

We are committed to ensuring that the information we collect about you is secure. In order to prevent unauthorised access or disclosure, we only store your personal data on secure systems. These are:

  • Mysql Database - password protected and only accessible from the MB web system
  • MB web software - hosted by Stablepoint.com - please also see their privacy and security policies

Access to the MB system is via username and password. The password is set by each user and known only to them. One way encryption means it is not accessible to any other person or machine. Each user is therefore also responsible for the data they enter onto the system to ensure they are complying with general SETsquared Bristol policies.

Google Calendar and Google API services

In addition, this Meeting Booker system uses Google Calendars for storing bookings. A single access is used to an individual MeetingBooker calendar, owned by the Meeting Booker account, and no individual user access is required. Users may need to add meetingbooker.net@gmail.com to their contacts list to enable events to be added to their personal calendars on whichever system they use.

The Meeting Booker use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

What we do with the data

Parkview will use your information for the following reasons:

  • internal record keeping
  • to improve our service
  • to contact you by email and phone for product feedback and product support

How long we keep the data

We will keep your information as long as is necessary for the purpose of processing by the means described above. It will be securely disposed of thereafter.

Controlling your personal data

Your personal information will only be processed by Parkview staff. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

You may request details of personal information which we hold about you under the EU's General Data Protection Regulation (GDPR) 2018. If you would like a copy of the information held on you, please email rick@parkviewconsultants.com .

If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible at the above address. We will promptly correct any information found to be incorrect. You also have the right to request that we remove/delete any information that we hold on you. Removal/deletion of your personal data will be performed promptly on this request.

Furthermore, if you are not satisfied with our response or believe we are not processing your personal data in accordance with the law, you can complain to the Information Commissioner’s Office https://ico.org.uk.
